Many companies with remote employees use Mobile Notary Service for the completion of USICS form I-9 and verification of identity that must be completed for new hires.
Notaries are often requested by employers to serve as the Authorized Representative because they are unbiased third parties who have experience verifying identification and accurately completing official forms.
We are all commissioned New York Notary Public's available to serve as the Authorized Representative for Form I-9 ID verification and signature.
Our Notary Publics will schedule and meet with a remotely hired employee at an agreed-upon location.
We will then make sure the Form I-9 is completed properly with employee information and signatures.
Unexpired original identification documents presented by the employee are physically examined from the list of acceptable documents provided with the USICS form I-9 instructions.
Employee identity and employment authorization are verified.
We complete and sign the I-9 Authorized Representative section.
The completed Form I-9 is given back to the employee for submission to their employer.
Employers can designate an authorized representative to fill out Forms I-9 on behalf of the company and often request a notary public.
The notary will physically examine, with the employee physically present, the documents and determine if they are genuine, valid, and relate to the employee presenting them.
On the I-9 form, the mobile notary will verify the identity and authorization to work in the United States of a new employee hired for the employer.
U.S. employers must have a properly completed Form I-9 for each person hired for employment in the USA. They have to include all citizens and noncitizens.
The employee and employer (or authorized representatives of the employer) have to complete the I-9 form. Mobile Notary Service notaries will sign as an authorized representative.
The employee must attest to their employment authorization to work on the Form I-9.
The employee will present documents that are listed as acceptable for evidence of identity verification and employment authorization.
The Notary Public, signing as a Company Authorized Representative, will examine all of the documents to determine if they are genuine and to related documentation of the employee.
A written record of the documentation information is recorded on Form I-9.
The list of acceptable documents is found on the last page of the I-9 form.
Employers will have to keep the Form I-9 for a designated time period as well as make it available to be inspected by government officers when requested.
